The International Cancer Foundation (ICF) offers a limited number of Travel Grants to help healthcare professionals and patient advocates attend ESMO Congresses and related events.
The programme aims to reduce financial barriers, facilitate access to scientific and educational exchange, and strengthen cancer care and advocacy worldwide.

What the Grant Covers
Each Travel Grant supports attendance at a selected ESMO event and may include:
Registration fees
Economy-class travel
Mid-range accommodation
Eligible local transport
Visa fees
One additional night of accommodation before or after the congress, where reasonably required for travel or logistical reasons
ICF Travel Grants normally operate on a reimbursement basis. Recipients are generally expected to cover their costs and submit eligible expenses after the congress.
Reimbursement is based on actual eligible expenses supported by receipts, up to the amount approved by ICF.
Who Can Apply
We welcome applications from:
Healthcare professionals involved in oncology services
Leaders or members of patient advocacy organisations
Individuals committed to advancing cancer care and access in their communitie
A maximum of one ICF Travel Grant may be awarded per person per calendar year.
How Applications are Evaluated
Applications are reviewed by the ICF based on criteria including:
Participation in an eligible ESMO congress or event
Confirmed contribution to the congress such as an accepted abstract, poster or presentation
Geographic representation, with priority given to applicants from low- and middle-income countries
Motivation and potential impact
Relevance of the event to the applicant’s professional or advocacy work
Reasonable and clearly explained budget request
Any confirmed contribution to the congress, such as an accepted abstract, poster or presentation
For healthcare professionals, priority is generally given to applicants with a confirmed contribution to the congress, such as an accepted abstract, poster or presentation.
For patient advocates, applications are assessed primarily on the relevance of the event to their advocacy work, their level of engagement, the expected impact of their participation, and their potential to transfer knowledge to their organisation or community.
Funding is limited and competitive. As the number of applications often exceeds the grants available, meeting the eligibility and prioritisation criteria does not guarantee funding.
Recipient Responsibilities
If selected, recipients agree to:
Attend the event in person and for its full duration
Confirm attendance by the deadline communicated by ICF
Register directly with ESMO or the congress organiser within the applicable deadlines
Arrange their travel and accommodation
Keep all receipts and supporting documents
Include the ICF logo on any poster or presentation supported by the grant
Provide a short post-congress testimonial if requested
Tag ICF on LinkedIn when posting about your participation (#InternationalCancerFoundation).
Partial or virtual attendance may result in non-reimbursement.
Application Process
Before the Congress

Your application should include:
Why you wish to attend the event
How participation supports your professional or advocacy goals
The expected impact on your institution, organisation or community
Your estimated costs and the amount requested from ICF
Any funding received or requested from another organisation
Receipt of your application will be confirmed by email.
You will normally be informed of the outcome within approximately two weeks. The review may take longer where several applications for the same event need to be considered together.
If Your Application Is Approved
The approval email will confirm the maximum grant amount awarded and provide the applicable reimbursement documents and instructions.
You will then be responsible for:
Registering directly with ESMO or the congress organiser
Applying for a visa, if required
Booking your travel and accommodation
Keeping all receipts and supporting documents
Any alternative payment arrangement must be approved by ICF in writing before bookings or payments are made.
If your attendance depends on obtaining a visa, we recommend avoiding non-refundable bookings until your visa has been approved or selecting refundable options where possible.
If needed, ICF can provide a visa support letter template. Applicants must complete the template and return it to ICF for review and signature.
ICF cannot guarantee visa approval or accept responsibility for visa decisions, delays or related financial losses.
Reimbursement After the Congress
Preferably within four weeks after the congress, submit the following documents as one combined PDF:
Completed Statement of Expenses form
Receipts and invoices for all expenses claimed
Flight e-ticket or other travel ticket
Boarding passes
ESMO or congress Certificate of Attendance
Proof of payment for visa fees, where reimbursement is requested
Expenses must be stated in both the original currency and EUR, using the OANDA exchange rate applicable on the date of purchase.
Only include expenses for which reimbursement is requested. The bank account provided must be able to receive international transfers.
Eligible Expenses
Accommodation
Reasonably priced, mid-range hotel
One additional night before or after the congress where required for reasonable travel or logistical reasons
For shared accommodation, including Airbnb bookings, please provide:
The names of all persons sharing the accommodation
The full accommodation invoice
A clear explanation of the applicant’s share of the cost
Travel
Economy-class airfare
Second-class train ticket
Reasonable local transport directly related to congress attendance
Taxis between home, airport or railway station, accommodation and congress venue, where appropriate
Fuel costs at EUR 0.60 per kilometre, where applicable
Visa fees
Visa application fees may be reimbursed upon submission of proof of payment.
Registration
Registration fees for the approved ESMO event may be reimbursed upon submission of proof of payment.
Non-Eligible Expenses
The following expenses are not reimbursed:
Meals and per diems
Phone or internet costs
Hotel extras, including minibar and laundry
Medical, travel or accident insurance
Personal expenses
Costs not directly related to attendance at the approved congress
Additional private travel or accommodation outside the eligible congress-related period
Insurance and Travel Protection
ICF does not provide medical, travel or accident insurance.
Travel Grant recipients are responsible for arranging adequate insurance for the full duration of their travel and stay. ICF cannot be held responsible for health issues, accidents, cancellations, travel disruption, lost documents or baggage, or other incidents occurring during the travel period.
Adequate travel insurance is strongly recommended.
